Live Captioning for Webex Meetings

WebEx Event Captioning is easy with Archive Captioning. Follow these instructions below to make your event accessible.

To embed captions directly into your event, follow Steps 1 through 4 below using the “Multimedia Viewer” panel in WebEx and this link, with your unique event link you should have received when captioning was confirmed for your event.

Step 1: When the host of the event begins the session, they first must open the Multimedia Viewer panel. They do this by clicking on the View > Panels > Manage Panels:

Step 2: Here in the “Manage Panels” window,  the host will need to move the Multimedia Viewer from the “Available panels” into the “Current panels”:

Step 3: Once the Multimedia Viewer panel is in the Current Panels, the host will need to click  Share > Multimedia. This will open a new window and the host will need to copy and paste the embedded link you received from Archive into the URL bar.  If you do not have a link, please contact Archive Support at 800-870-1795.

Step 4: Once the link is embedded, captions will begin streaming in the Multimedia Viewer panel:

If the host is sharing their desktop in full-screen mode, the host and participants may need to move their mouse to the top of the screen for the dropdown menu, click on the down arrow, and click on the Multimedia Viewer button to see the captions. This will pop up the Multimedia Viewer window and can be moved to any part of the screen that is best for the attendee:

Adobe Connect Captioning

Live Captioning in Adobe Connect 

Adobe Connect event captioning is simple with Archive's solution. Follow these instructions below to make your event accessible to all participants:

For Adobe Connect meeting organizers:

Step 1: Download the Captioning Pod. There is a ZIP file containing your version of the captioning pod available here:

We suggest you click the link and choose “Save As…” from the menu of options so that you can specify where the file will be downloaded on your computer.

Once downloaded, extract the ZIP file to a temporary folder.

Step 2: Add the Pod to Your Adobe Connect Meeting

Open the Adobe Connect meeting and follow the instructions you find on the website to begin your meeting.

Once your meeting is running, select the following menu item: Pods -> Share -> Add New Share

In the new window, click the dropdown arrow next to Share My Screen and choose “Share Document”:

In the new window, click the “Browse My Computer” button at the bottom left and find the CC pod where it was saved. Double click that file, and the pod will begin to load.

Step 3: Initiate Captioning

Once the pod is loaded, click on the plus (+) icon near the top of the pod. This will activate the menu bar, which provides the connection configuration. The dropdown menu next to Provider is where you will select “Other.”

  • In the dialog boxes, enter the following settings:
    • Host: www.1CapApp.com
    • ID: Enter your event ID / Confirmation Number (Note: The Event ID / Confirmation Number should have been received by the person who ordered the event as part of their confirmation email.)
    • Port: 6981
    • Name: Your choice. Can be anything.

Click the Connect button to connect to Archive Captioning. Once you are connected, the tab will be updated showing the connection name and a yellow triangle indicating that the connection has been made.  BE PATIENT, THIS CAN TAKE A MINUTE.

Check the “Broadcast Captions” checkbox – this allows captions to flow through into the meeting through the captioning pod. The tab will update with a green checkmark indicating that the captions are flowing.

Your meeting is now ready to receive captioning and you may click the “Caption Viewer” tab.

For Meeting Participants

Using live captioning services for your conference calls or web meetings will provide you with access to live, real-time captions displayed in an easy-to-use streaming text window.  The caption streaming platform is web based and works with most browsers with nothing to download or install.

How to Closed Captioning for your conference call or audio meeting:

  • Before the Conference – In your meeting confirmation email, you will receive a link to the caption stream. This will allow you to access live captions during your meeting.

We strongly suggest you dial into your Audio Meeting and streaming session 5 to 10 minutes before the meeting start time to familiarize yourself with the available tools.

  • During the Conference – If you are participating in an audio meeting/conference call, you will need one browser window open which displays the streaming captions via caption streaming platform.

  • After Your Conference – If available, save a copy of the unedited transcript to your own computer. Note: This option is dependent on your meeting organizer’s preferences.

How to Access Closed Captioning for your Video Meeting:

  • Before the Conference – In your meeting confirmation email, your meeting organizer will provide you with a link to the caption streaming platform. This will allow you to access live captions during your meeting.  Please note that you will need to log in to TWO separate websites using different links:
  1. Video meeting web link (this link will direct you to the event arranged by your meeting organizer)
  2. The caption streaming link provided in your confirmation email.

*We suggest you log in to the Web Conference and the caption streaming platform 5 to 10 minutes before the meeting start time to familiarize yourself with the available tools.

  • During the Conference – If you are participating in a video meeting, you will have two web browser windows open.
  • After Your Conference – If available, save a copy of the unedited transcript to your own computer. Note: This option is dependent on your meeting organizer’s preferences.

For Meeting Organizers

To easily schedule captioning services for your live audio/video meeting or web conference, please contact us at This email address is being protected from spambots. You need JavaScript enabled to view it. or call 800-870-1795.  As you place your order, you will want to decide whether you need things like:

  • An Immediately Available Unedited Transcript (for downloading by meeting attendees)
  • An Edited Transcript (to include in perpetuity in your meeting recording)
  • Two-Way Communication between Captioner and Participants for Q&A
  • Spanish Captioning and Transcription Services

Captioning services can be requested with as little as 12 hours notice.  Once captioning for your meeting or web conference has been scheduled, you will receive a confirmation of your captioning order, your caption Event ID, and a unique event link to the streaming text window.

To share the link to the caption stream with your meeting attendees, you can paste the unique link from your confirmation email into your meeting invitation. This will be a separate link from the meeting event.  Please remind participants that they may need to open two separate website windows at the start of the event: one window for the meeting/conference and another window to display the captions.  (Audio conference attendees will only open one website window to view captions.

We can also secure meeting links with passwords, restricted IP addresses or limit logins to specific email domains.  Contact your Archive representative for more information.

 

Zoom Captioning Integration

Follow these easy steps to show live captions in your Zoom Meeting:

 1.  Make sure captions are enabled on your Zoom account by watching this short video: 

 

2.   Schedule your Zoom Meeting at https://zoom.us/meeting as you normally would in the “My Meetings” tab and click “Save.” This will automatically bring you to the “Manage My Meeting” view of your meeting.  Click the “Start this Meeting” button at the top or bottom of this page:

3.  Once you’ve clicked “Start this Meeting”, your next screen will look like this:

Click the “Closed Caption” button located in the menu bar at the bottom of the page. In the window that comes up, click "Use Third Party CC".  A link will be copied to your clipboard.  Send that link to Archive when you are scheduling captioning for your meeting.  This link is specific to each session so be sure not to change the session or you will need to resend the link.

4. Zoom Captioning then appears at the bottom of your screen and are accessible to your meeting participants by clicking the “CC” icon (the icon will be green once the captioner is ready):

Video Remote Interpreting

What is Virtual/Remote Video Interpreting?

Video Remote Interpreting (VRI) uses the same web-based technology that allows virtual meetings, with the addition of an experienced sign language interpreter participating from a remote location. The hearing and deaf participants can be together in the same room or they can each log in remotely — in either case, they just need a webcam and high-speed internet access.
